How to hire a freelancer who speaks another language

You can hire a freelancer you don’t share a language with: for major language pairs, machine translation now handles everyday chat well. What still breaks is numbers, dates, terminology, formality and anything spoken. Below: what Upwork, Fiverr and others offer, checked September 27, 2026, and how to work around the gaps.

2. Ask the freelancer to restate the task, and start with a small paid test.
3. Agree in writing on the contract’s governing language, the currency and who pays the fees.

Can you hire someone you don’t share a language with?

Yes, if the work doesn’t depend on your language. Cross-border hiring is routine, and much of it runs in English, which Upwork requires. About 71% of Upwork’s 2025 gross services volume came from US clients, while US-based freelancers generated about 25% of it; India and the Philippines are the next-largest talent countries. English is also a barrier: in a World Bank survey published in 2023, a third of online gig workers named English skills as a main challenge on global platforms, and 57% answered the survey in a language other than English.

Working through translation suits jobs where the result doesn’t depend on your language: code, design, video editing, data work, spreadsheets, illustrations. It works worst when language is the product. For ad copy, SEO texts, customer support or voice work, hire a native speaker of your audience’s language, even if you and the freelancer talk through translation.

What Upwork, Fiverr and others do about language

Other platforms rely on language filters. When you post a project on Malt with its AI assistant, the freelancers’ language defaults to the project’s language. Workana, which is mostly Latin American, lets freelancers filter jobs by language.

How good machine translation is now, and where it breaks

In WMT25, the main annual machine translation competition, human raters scored the leading systems in 16 language pairs, on test texts chosen to be hard. Human translations made the top-ranked group in only 6 of the 15 pairs where they were tested. The best system, Gemini 2.5 Pro, made it in 14 of 16. Quality still depends on the pair: in a 2024 Pediatrics study of hospital discharge instructions, Google Translate and ChatGPT matched professional translators for Spanish and Portuguese, but 23–33% of their Haitian Creole translations had potentially harmful errors, against 8% for professionals.

Benchmarks won’t settle DeepL versus Google Translate for you: WMT25 hides the names of the online translation services it tests, and its best system was a general-purpose AI model. Instead, send the freelancer one message from two tools and ask which reads more naturally.

The WMT25 organizers found that top systems still stumble on specialist terms, informal or error-filled input and, in some pairs, grammatical gender, and that transcribed speech was the hardest material. In practice, watch for:

• Idioms and slang. They often come out word for word.
• Terms of your trade. “Deliverable,” “revision” or “bleed” may come out as everyday words.
• Numbers. 1,234.56 in the US is 1.234,56 in Germany and 1 234,56 in France. “$” can mean US, Canadian or Australian dollars, or Mexican pesos.
• Dates. 04/05/09 is April 5, 2009, in the US, 4 May 2009 in the UK and May 9, 2004, where the year comes first.
• Negation and dropped words. A missing “not” flips a requirement.
• Formality. Spanish tú or usted, German du or Sie, French tu or vous, Russian ты or вы: the translation picks one, and it may sound rude or stiff.
• Speech. Voice messages and calls go through speech recognition first, and its mistakes get translated too.
• Names. A surname or a brand can come out as an ordinary word.

Your input matters too. A 2019 study in JAMA Internal Medicine found Google Translate’s potentially harmful errors more likely when the English original had spelling or grammar mistakes, medical jargon, colloquial phrasing or a high reading level. In a 2025 report by Intento, a translation automation vendor, systems set up with a client’s terminology and tone requirements averaged 0–2 errors per text, against 10–15 for off-the-shelf ones.

Write a brief that survives translation

Most of these rules come from Microsoft’s and Google’s guides to writing for translation.

1. One idea per sentence, subject first: “Send the files by Friday,” not “Files would ideally be sent over by end of week.”
2. Use one word for one thing. If you say “logo,” don’t switch to “mark” or “emblem.”
3. Keep small words such as “that,” “who” and “the”: they tell the engine how the sentence is built.
4. No idioms, jokes, slang or references to local holidays and seasons.
5. Spell out abbreviations the first time.
6. Write dates with the month as a word (October 15, 2026) or as 2026-10-15.
7. Write money with a currency code and no thousands separator: 2000 USD, not $2,000.
8. Give times with a UTC offset: 15:00 UTC+1, not 3 pm CET.
9. Attach examples or a sketch. Text inside a screenshot won’t be translated, so repeat key instructions in words.

Chat and calls: a workflow that holds up

1. Start in writing. Text translates better than speech, and both of you can reread it.
2. Put numbers in fields. Use the platform’s offer, milestone or terms form for price and deadline. Both of you then see the same figures, not a machine-translated sentence.
3. Ask the freelancer to restate the task in their own words, then read it in your language. Mismatches show up here, not after delivery.
4. Keep a short glossary of 10–20 terms with the translations you both agree on.
5. Check the original when a translated message looks odd. Run it through a second tool before you reply.
6. Confirm calls in writing. Live captions and translation are fine for small talk. After the call, send the decisions as a numbered list. For negotiations, book an interpreter. Interpreters handle live speech; translators handle written documents such as contracts.
7. Stay on the platform until there is an order or a contract. Fiverr allows other chat tools only after an order is placed. Upwork, except on its Business and Enterprise plans, allows sharing contact details only after a contract starts.

Check the freelancer’s language level

Separate two questions: which language you will talk in, and which language the result must be in. For the first, profiles help: Upwork shows each language with a level and can verify English, and Fiverr lists each language with a level. For the second, pay for a small test task in the target language and have it checked by a native speaker.

Which language governs the contract

If the contract exists in two languages, say which one wins. A prevailing-language clause can be as simple as: “This agreement is made in English and Spanish. If the two versions differ, the English version prevails.” Without such a clause, a court or arbitrator decides. The UNIDROIT Principles of International Commercial Contracts, a model rulebook for international contracts, prefer the version the contract was originally drawn up in.

• Have the governing version read by someone fluent in it. Don’t sign a machine translation.
• Choose the governing law and the court or arbitration deliberately, not as boilerplate.
• Some countries require certain contracts to be in the local language. Check with a lawyer where you or the freelancer are based. This guide is not legal advice.

Paying across currencies

Currency conversion can cost nearly as much as the payment fee. On PayPal, for example, a US business account receiving an international payment pays its usual rate plus 1.50%, and PayPal adds a 3–4% spread when it converts currency. Wise converts at the mid-market rate and charges a fee from 0.52%, depending on the currency. Upwork’s payment partners may add a markup when freelancers withdraw in currencies other than US dollars, and Fiverr prices are based on US dollars, so prices in other currencies may change daily. Fees vary by country, so check your own.

Agree in writing on the currency, who pays the transfer fees and the amount that must arrive.

Time zones

Write time zones as UTC offsets or cities, not abbreviations: CST is a US, Chinese or Cuban zone depending on who reads it. Agree on a daily window, even one hour, when you are both online, and on how fast each side replies. Handle everything else in writing.

Hiring through an AI agent

Upwork has a connector in Claude and an app in ChatGPT: the assistant drafts job posts and offers for you to confirm, and money moves only on upwork.com.
